User Guide: Vacancies

Basics

Tere are very few things to remember when creating vacancies:

  • Vacancies will stay on the website until the Expiry date has passed – vacancies with None in the expiry date will stay on the website until they are physically removed
  • The contact person will default to countyadmin@northantsscouts.uk if no email added
  • Vacancies are eiher County or local (e.g. district/group/section level)
  • We need to sell the vacancy, make it attractive to anyone viewing the website, therefore make the description sexy!

 

Add a new Vacancy

  1. On the Dashboard, select Vacancies
  2. Click ‘Add new vacancy’
  3. Enter the vacancy name. e.g. Assistant County Commissioner – IT Support
  4. In the big white box, type in the sexy description of the job – these are the words that the potential recruit will see on our website.
  5. At the end of the text on a new line, add the role description document
    1. click on ‘Add media’ button above the big text box
    2. If the role description doument has previoulsy been loaded, scroll through the ‘media library’ until you find it, click in the document, and go to step 5.6
    3. If the role description has not been loaded previpusly, click ‘Upload Files’
    4. Then click the grey button ‘Select files’ which will take you to your computer desktop
    5. Find the role, then click ‘open’
    6. Enter something meaningful in the Title box (it will currently display the name of the file)
    7. Click the blue ‘insert into page’ button
  6. In the ‘County Vacancy’ box
    1. Add the closing date in the format of dd/mm/yyyy, or if there isnt a closing date enter the word None
    2. Tick whether it is a County role or one based at District/Group/Section level
    3. In the ‘vacancy based at’ box, enter Countywide, Various or the District it is based in
    4. If the contact email address is not the default email (see changing default email), enter in an email
  7. Click the blue ‘publish button’

 

To Amend an existing Vacancy

  1. On the Dashboard, select Vacancies
  2. Then select ‘all vacancies’
  3. Scroll down until you find the one you wish to amend
  4. click the works ‘edit classic editor’
  5. Overtype the parts that need amending
  6. Click on the bue ‘Update’ button

To Change or Remove a Document

If the wrong document has been attached:

  1. On the Dashboard, select Vacancies
  2. Then select ‘all vacancies’
  3. Scroll down until you find the one you wish to amend
  4. click the works ‘edit classic editor’
  5. On the big text box, at the top on the right hand side are two tab buttons, click on the one that says Text
  6. Scroll to the bottom of the text box, and find the line starting <a href=
  7. Remove all the line, e.g. from the <a href= to the </a> inclusive (the line will be long and be similar to <a href=”http://northantsscouts-org-uk.stackstaging.com/wp-content/uploads/2020/12/RD-ACC-Active-Support.docx”>RD ACC Active Support</a>
  8. At the top of the text box, select ‘Visual’
  9. If you do not wish to add a new document, press the blue ‘update’ box
  10. If you want to add a new document, at the end of the text on a new line, add the role description document
    1. click on ‘Add media’ button above the big text box
    2. If the role description doument has previoulsy been loaded, scroll through the ‘media library’ until you find it, click in the document, and go to step 5.6
    3. If the role description has not been loaded previpusly, click ‘Upload Files’
    4. Then click tjhe grey button ‘Select files’ which will take you to your computer desktop
    5. Find the role, then click ‘open’
    6. Enter something meaningful in the Title box (it will currently display the name of the file)
    7. Click the blue ‘insert into page’ button
  11. Click on the blue ‘Update’ button

 

To Change the Default vacancy contact email

If you don’t enter a Contact email for the vacancy, it will automatically use the default vacancy email address, which at the time of writing this user guide is set to countyadmin@northantsscouts.org.uk.

If it is agreed that the default contact email should be changed:

  1. On the Dashboard, select Default Settings
  2. Scroll down until you find ‘Vacancy default Email’
  3. Click ‘edit’
  4. Update it with the new default email
  5. Press ‘save’
  6. This will now chaneg all the contact email addresses in current vacancis where there is no specific email set
